As part of UOW’s response to the COVID crisis, we identified that the high level of manual paper based processes was a major factor affecting productivity as well as increasing operational risk.

The UOW 2020-25 Strategic plan also has the following transformative priority:

Our digitalisation priority will see us pursue projects and redesign processes to enhance our digital capacity and teaching, learning and research practices.

To date, in excess of 600 paper-based forms have been identified across UOW. The Digital Forms Project has been established to digitalise 90% of manual forms by 2025 and increase the use of digital workflows to improve accessibility and productivity; reduce paper, print costs and waste. The Project team consists of representatives from IMTS and BIAD.

Stage 1 of the project will have established the following by the end of 2020:

  • Assess extent of manual forms at UOW to establish a baseline and plan.
  • Assess how to handle existing forms. This includes determining whether the form is still required, and/or if supporting processes are appropriate.
  • Establish a methodology to inform prioritisation of forms to be digitalised.
  • Confirm an approach to digitalisation, ownership and responsibilities, including ongoing custodianship and review of forms.

But to do this, we will need your help!

Over the coming weeks, the project team will be appealing for help by asking all UOW areas to nominate paper based forms for assessment.
